New to exporting - now what?

You have sold goods to your customer and are intending to export this shipment using container transport. 6 easy steps will ensure that everything will work smoothly, from your first shipment onwards!

1. Sell goods to your customer

You sell goods to your customer. You agree on the price of the product and on delivery terms. It is useful to look in detail at standardized delivery terms in terms of transport, so-called Incoterms. In this way you will prevent surprises with regard to who is paying for what in the logistics chain, and where risks are being transferred.

You decide you want to send the goods to your customer by container transport.

2. Prepare the shipment

The next step is preparing the shipment for transport and drawing up documents.

Always use decent packaging for sending goods. If the packaging is not suitable for transport, then you will have to repackage the goods or place them in suitable outer packaging.

It is just as important to prepare the right documentation. At the very least a commercial invoice needs to be enclosed with the shipment. Depending on the goods contained in the shipment, the following documents will also need to be prepared:

  • Certificate of Origin
  • EUR-1 certificate
  • Health certificate
  • Phytosanitary certificate

3. Become one of J. van de Put's customers

You will have to be a customer of J. van de Put even before you have your first shipment exported. This way we will be familiar with all your details, enabling us to process the goods correctly. To become one of our customers you will need the following details to hand:

  • Company details (company name, postal address, telephone number, e-mail)
  • Delivery address details
  • VAT number
  • EORI number (you can find this out from your Tax Office)
  • Dutch Chamber of Commerce (KvK) number or your company registration number
  • Currency in which you wish to be invoiced (EUR €/USD $)

We advise becoming a customer of J. van de Put at least 3 days before to your first shipment needs to be exported.

We will then book the container, draw up the Bill of Lading for you and arrange transport to the port terminal.

4. Loading the container

In the case of a full container load (FCL), the container will be brought to you for loading. After loading and Customs clearance, we will transport it to the right port terminal. In case of less than container load (LCL), the shipment will be picked up from your place of business and we will consolidate it. We will then load the container for you.

5. Submit all documents

Send all documents and the Bill of Lading to your customer (or his import shipping agent). Your customer will then be able to see to the import process once the container has arrived in the destination port.
